Lot Traceability for Research Materials

A practical overview of lot identity, receiving records, documentation matching, and internal chain-of-custody controls.

Updated July 16, 2026

01

Why lot identity matters

A catalog name identifies a material class. A lot identifier distinguishes the specific production or packaging record received by a research organization. That distinction supports repeatable procurement, document review, inventory control, and investigation when an exception occurs.

A useful traceability record connects the supplier, catalog item, strength, lot, receipt date, quantity, storage location, and available documentation. The objective is a clear operational trail, not a marketing claim about the material.

02

Build the receiving record first

Traceability begins when the shipment is received. Record the label exactly as presented and preserve the original lot identifier. Internal barcodes or location codes can be added, but they should not replace the supplier lot in the source record.

  • Supplier and purchase reference
  • Catalog name, SKU, strength, and quantity
  • Supplier lot and receiving date
  • Condition on receipt and storage destination
  • Documentation status and reviewer

03

Match documents at the lot level

Analytical documents should be reviewed against the lot printed on the received item. A document for a different lot may be useful background, but it should not be represented as the report for the material in hand.

When a report is pending, the catalog and internal record should say so plainly. A visible pending state is more reliable than a generic document link that cannot be matched to the listed lot.

04

Preserve the audit trail

Record transfers, quantity adjustments, holds, and disposition changes as dated events. Restrict editing permissions for source identifiers and retain the reason for corrections. This creates an understandable history for procurement and laboratory review.

AEVUM order records retain the listed product, strength, SKU, and lot reference available at checkout. Each receiving organization remains responsible for its own validated procedures and applicable requirements.
